Logging Emails in Your CRM via BCC (e.g., HubSpot, Salesforce)

Automatically log emails sent from Autobound (via Gmail or Outlook) to your CRM by adding your CRM’s BCC address.

1. Find Your CRM’s BCC Address

  • HubSpot:
    Go to Settings → Objects → Activities. Copy your unique BCC address. (HubSpot instructions)

  • Salesforce:
    Go to Profile → Settings → My Email to Salesforce. Copy your BCC address and enable “Automatically assign them to related salesforce.com records.” (Salesforce tutorial)

  • Other CRMs:
    Refer to your CRM’s documentation for the BCC/logging address.


2. Add Your Email Integration & BCC in Autobound

  • Go to Settings in Autobound.

  • Click Integrations and add your Gmail or Outlook integration.

  • On the right-hand side, click the Gear icon.

  • Select Add a BCC, Signature, and other settings.

  • Import your signature from Gmail (or copy-paste it) and add your CRM’s BCC address in the BCC field.


3. Configure Your Campaign to Send Emails

  • Go to your campaign’s Prospects tab.

  • Add an export column.

  • Select Send via Gmail or Send via Outlook.

  • Choose your sending preference (“logged end user” or “dedicated account”).

  • Click Confirm.


All emails sent through Autobound will now be logged in your CRM as activities for each prospect.

Step 1: Configure Your Autobound Export Settings

First, you'll set up your campaign's export column in Autobound to send emails directly through your email service.

  1. Add an Export Column:

    • In your Autobound campaign, navigate to the Prospects tab.

    • Click to "Add an export column."

  2. Select Your Sending Method:

    • Choose "Send via Gmail" or "Send via Outlook," depending on your integrated email service.

    • Select your preferred sending preference: "logged end user" (if you want it to appear as sent from the user who added the prospect to the campaign) or "dedicated account" (if sending from a single designated account).

    • Confirm your selection.

Step 2: Retrieve Your CRM's BCC Address (e.g., HubSpot, Salesforce)

To ensure emails sent from Autobound via your email service are logged in your CRM, you'll need its unique BCC address. Most CRMs provide a dedicated email address for logging communications.


Locate Your CRM's BCC Address:

  • For HubSpot:

    • For more detailed information, refer to HubSpot's guide: How to log emails in your CRM with the BCC or forwarding address

    • In your HubSpot account, go to Settings (gear icon) in the top navigation bar.

    • In the left sidebar, under "Objects," select Activities.

    • Scroll down and locate and copy your unique BCC address from this page.

  • For Salesforce:

    • For a detailed walkthrough on setting this up, see this tutorial: How to BCC Emails to Salesforce

    • Go to your Profile icon (top right) and select Settings.

    • In the Quick Find box, search for and select "My Email to Salesforce."

    • Locate and copy your "Email to Salesforce Address."

    • Important: Select "Automatically assign them to related salesforce.com records" and click Save. This ensures proper logging.

  • For Other CRMs:

    • Consult your CRM's documentation for instructions on finding your unique email logging or BCC address.

Step 3: Add the BCC Address to Autobound

Finally, paste your CRM's BCC address into Autobound's integration settings.

  1. Go to Autobound Settings:

  2. Configure Gmail/Outlook Integration:

    • Choose your integrated email account type (Gmail or Outlook).

  3. Add CRM's BCC Address:

    • In the designated field, paste the BCC address you copied from your CRM.

  4. Save Changes:

    • Click Save to apply the settings.

Outcome

Now, whenever you add prospects to your Autobound campaign and send emails through your connected Gmail or Outlook account, they will automatically be logged as activities against the respective prospect records within your CRM, allowing for centralized tracking without needing to use your CRM's native sequencing for sending.
